Registering a New Patient
Tap the Search / Patient icon
From the main screen tap the magnifying glass or patient icon to open the patient search and registration screen.
Search first to avoid duplicates
Type the patient's name or phone number. If they appear in the results, select them — no need to create a new record. Only tap "Register New Patient" if they genuinely don't exist yet.
Fill in the patient details
- Full Name (required)
- Mobile Number (required) — used for WhatsApp follow-ups if configured
- Date of Birth — used to compute age automatically
- Gender
- Email (optional)
- Patient ID — auto-generated using your configured prefix (e.g.
CS-2026-0042), or you can enter a custom ID if manual mode is enabled
Tap "Register Patient"
The patient is created in the CaseIndex database and a patient record folder is created in your Google Drive automatically.
Patient ID Configuration
Each patient gets a unique ID for easy reference in prescriptions, bills, and filing. You can configure the ID format in Settings → General.
| Setting | Description | Example |
|---|---|---|
| Prefix | A fixed text added before the number. Often includes the year. | CS-2026- |
| Next Number | The next sequential number to be assigned | 43 → ID will be CS-2026-43 |
| Mode: Auto | System assigns the next number automatically | Recommended for most clinics |
| Mode: Manual | Staff enters the ID themselves when registering | Use if you have an existing numbering system |
Searching for Patients
Search is available from both the main calendar (when booking) and the dedicated patient screen. You can search by:
- Patient name (partial match — typing "sharma" finds "Priya Sharma")
- Phone number
- Patient ID (e.g.
CS-2026-42)
Viewing Patient History
Tapping on a patient in the search results opens their profile. The profile shows:
- Personal details (age, gender, contact info)
- Last visit date
- Links to their case folder in Google Drive
- Direct access to their Master Case Document
Tip: All records are in your Google Drive
Patient folders are organised automatically. Navigate to your Google Drive → CaseIndex → Patients to find each patient's folder directly, even outside the app.
