Overview
CaseIndex features a mobile-first visit recording flow designed specifically for busy practitioners. It allows you or your staff to record key clinical parameters and write consultation notes directly on a mobile phone or tablet, completely replacing paper charts.
Syncs directly to Google Docs
Every clinical visit you complete is automatically compiled and added chronologically to the patient's master Google Doc in your own Google Drive. You retain 100% data ownership.
The 4-Tab Visit Screen
When you start or edit a visit from the calendar or patient profile, you will see four tabs:
Vitals Tab
Record the patient's baseline physiological data. The app supports a wide range of fields including:
- Basic Metrics: Weight (kg), Height (cm), and auto-calculated BMI.
- Cardiovascular: Blood Pressure (Systolic/Diastolic mmHg), Pulse (bpm), SpO₂ (%).
- General: Temperature (°F/°C), Respiratory Rate (bpm), RBS/FBS/PPBS (mg/dL), HbA1c (%).
- Pediatric/Obstetric: Head, Waist, and Hip circumferences.
- Pain Score: Visual Analog Scale (0 to 10).
Notes Tab
Write your clinical observations and diagnosis using standard SOAP format headers:
- Chief Complaint: The primary reason for the patient's visit.
- History: Presenting illness, past history, and allergies.
- Exam Findings: Physical and systemic examination details.
- Diagnosis: Provisional or confirmed clinical diagnosis.
- Treatment Plan: Prescriptions, advised tests, and follow-up instructions.
- Free Notes: Any unstructured notes or comments.
Files Tab
Attach medical reports, lab results, prescriptions, or photos. You can capture files in three ways:
- Camera Capture: Take a photo of the patient, a skin condition, or a physical report, and use the built-in annotation tool to draw or write notes directly on the image before saving.
- Document Scanner: Use the Google ML Kit scanner to scan physical documents into clean PDF/JPG files.
- File Picker: Select existing PDFs, images, or files from your phone's storage.
Messages Tab
Keep a chronological history of all WhatsApp messages (confirmations, reminders, review links) sent to the patient regarding this visit.
Special Features
⚡ Real-Time Auto-Save
Never worry about losing your consultation notes. CaseIndex monitors form fields and performs a silent background Auto-Save (delta PATCH) after 3 seconds of inactivity, as well as automatically saving whenever you switch between tabs.
⚙️ Per-Doctor Template Customisation
A pediatrician needs to track head circumference and height-for-age, while a cardiologist needs blood pressure, pulse, and ECG files. Owners can configure which fields appear for each doctor under Settings → Doctors → Visit Template Configuration. This keeps the visit entry form clean and relevant to your specialty.
🛡️ Version-Based Conflict Protection
If you and your receptionist open the same patient's visit screen simultaneously, CaseIndex tracks the document version. If another device saves a newer edit first, you'll be notified immediately, preventing accidental overwrites.
📅 Follow-Up Visit Reminders
Schedule a follow-up recall date directly during visit creation or medication planning. CaseIndex registers the date and automatically schedules a WhatsApp reminder message to be sent to the patient on that day, bringing them back into your care loop without manual intervention.
