Overview
CaseIndex integrates natively with WhatsApp. Rather than relying on expensive and complex external setups, confirmations and reminders are built directly into the CaseIndex workflow. This ensures a seamless communication experience for both your clinic staff and your patients.
No WhatsApp API Approval Needed
The messaging system operates directly, allowing you to choose between automatic background dispatch or quick-launch via your phone's personal/business WhatsApp app.
Key Messaging Features
Automated Booking Confirmations
When booking a new appointment for a patient in the app (or when they self-book using your public booking widget), a WhatsApp confirmation is queued immediately. The patient receives a message containing:
- The patient's name and appointment ID
- Date and time of the appointment
- Clinic name and Google Maps direction link
- Instructions on how to reschedule or cancel
Smart Appointment Reminders
Reduce no-show rates by setting up automated reminders. Reminders can be configured to send 24 hours and/or 2 hours before the scheduled time slot, providing the patient with directions and a one-tap button to confirm their arrival.
One-Click Google Review Requests
Build your online reputation easily. Once a clinical visit is marked completed on the calendar, the quick-action bar for that patient shows a Review button. Tapping it opens WhatsApp with a pre-filled, polite review request message containing your clinic's Google Business review link.
Direct Doctor-to-Patient Chat
Need to message a patient about an updated prescription or check-up? Click the WhatsApp icon next to their name in the patient manager to launch a chat window with their phone number pre-filled. You don't need to save their number in your phone's contacts first.
Scheduled Follow-Up Recalls
Set a follow-up target date while completing a visit. CaseIndex will schedule a customized WhatsApp recall reminder to send automatically on the morning of that date, reminding the patient to book their follow-up appointment.
Message Logging & History
Every message sent via CaseIndex is logged. Under the patient's timeline, switch to the Messages tab to view:
- The dispatch timestamp of each confirmation or reminder.
- The status of the message (sent, delivered).
- Which staff member or automated trigger initiated the message.
